Orchestrating file sharing within and outside the enterprise is a demand in an increasingly mobile world. Chief Information Officers (CIOs) fearful of data breaches look towards the cloud systems for answers to the challenges posed by this new phenomenon. They have their own list of requirements from cloud services. Here are a few:
1 Control: IT needs to control the way data is stored, managed, used and shared by the employees within the enterprise. They are answerable to regulatory authorities and to the management. Online file sharing solution gives them administrative control over users and gives them the power to determine who can access information, in what manner and who is authorized to share files or collaborate on documents.
2 Visibility: Ad hoc file sharing should not be possible for the cloud solution. This type of sharing reduces visibility of data and file transfers putting the data at risk. Data can get dispersed and IT will not know where data is stored, how it is used and whether it is encrypted or secured against unauthorized access.
3 Security: Data stored in cloud should not be readable to unauthorized users. Sensitive, confidential and personal data of customers and employees or even mission-critical business data should be transmitted in a bank grade or military grade encrypted format and should be stored encrypted. The encryption key should remain in the control of the CIO or the top management only. This will reduce the possibility of sensitive information being exposed during transfer or at rest and will be kept with the requirements of legal mandates.
4 Compliance: Compliance to regulatory requirements in the cloud should be demonstrated. The cloud software must provide for a number of audit and tracking tools that clearly demonstrate that compliance requirements are being met by the organization using the cloud collaboration software. The audit should extend to all kinds of file storage, sharing and communication systems, including email communication that can result in compliance and governance problems.
5 Functional Issues: The file transport systems offered by Cloud services should optimize bandwidth usage and server performance. Bandwidth throttling should be an integral feature of the file sharing software.
6 Retention of Data: The cloud service should facilitate the incorporation of data retention policies. Data retention feature implementation should extend to retention of email file attachments or file sharing and collaboration arrangements that require files to be shared between two or more employees.
