Vembu Online Data Backup Expert Tips: Storing 99 Versions of your Files and Folders!

Multiple versions of files are useful when users continually update files and sometimes need to restore the original file from which they started or restore to the current state from the latest version for faster restore.

Versioning policies for StoreGrid are defined while creating backup sets and scheduling backups. If no version policy is defined (i.e. Intelli-Delta Backup option is disabled), changes to the file will be incrementally saved, but new versions will not be created.

Retention Types
Users can choose a Version based retention policy in which multiple versions of files can be retained in the backup server based on a version file count. Additionally, they can choose a Time based retention policy in which multiple versions of files can be backed up based on the age of the file versions.

Version Based Retention
To invoke a Version based file count, users can select the number of files to be retained (range 0-99) with a default minimum of 5 versions. If the number of versions required is selected, the StoreGrid application checks on the number of versions already in the backup server and any new version will be added and updated to the server. If the new version of the file exceeds the version value set, the oldest version of the file will be deleted and the latest version added.

Time Based Retention
The time based version retention policy by default saves versions of files for five years. The files will be automatically removed thereafter. This option setting is independent of the version file count settings and can be set in parallel to the version based policy.  However, the administrator can restrict the maximum number of versions of the file that can be saved during a time frame by tweaking the settings.

Client side deletions do not affect the version settings in the backup server. The backed up files will be flagged as deleted in client during the next backup operation. StoreGrid users can then choose to retain or delete these files in the backup server based on the flags.  However, this option is only available for Windows machines and not for other operating systems as yet.

Versions of a file, folder or backup set can be restored by selecting the appropriate version to restore from the tree view in the restoration pane. Each version of the file will be displayed as a node and time stamped incremental changes to the file over a period of time will be displayed as child nodes. If multiple backups have not been configured for the file/folder/backup set, the list will display only the parent node.
