HP WorkSite provides legal staff with access control, version control, categorization and automation

PALO ALTO, CA – Nov. 4, 2014 — /BackupReview.info/ — HP today announced that the Life Technologies Group of Thermo Fisher Scientific Inc. is using HP WorkSite for secure and easy-to-use legal document management worldwide.

With a recently consolidated legal department, Life Technologies required a single document management system (DMS) to provide automated document management operations and integration with existing applications. The solution would need to manage Microsoft Office documents, emails, audio recordings, JPEG and GIF files, and read-only PDFs. To meet these critical document management needs, Life Technologies selected HP WorkSite, designed to empower secure collaboration from any location, using any device.

More than 150 legal staff at Life Technologies are using the highly-scalable solution worldwide, with an average of 48,000 interactions each month. HP WorkSite currently stores around 400,000 documents across three libraries, with the volume of content growing by around three gigabytes per month.

“After a comprehensive evaluation, it was evident that HP WorkSite would provide us with a comprehensive and secure document management system,” says Jaime Gamarra, senior associate systems analyst for IT legal applications for Life Technologies. “The solution is easy to leverage across our combined departments, meeting extended requirements for global access and providing multi-language support.”

Powered by HP IDOL (Intelligent Operating Data Layer), HP WorkSite provides Life Technologies with powerful contextual and proximity search capabilities to filter through relevant documents, which has reduced document processing times from weeks to just a day. The solution also offers seamless integration with Microsoft Office and other legal-specific applications, greatly enhancing productivity and user experience.

With many staff members requiring mobile access to documents, Life Technologies also benefits from the HP WorkSite Mobility app for iOS, which allows attorneys to browse, search, download, and edit documents from anywhere, ensuring productivity even if users are away from their desk. With advanced security features, the solution also ensures that only authorized users have access to sensitive information regardless of location.

“To truly drive productivity, organizations like Life Technologies, require an ECM solution that is specifically designed to meet their needs,” said Dan Carmel, Head of ECM Strategy and Solutions, HP Software. “HP WorkSite’s matter-centric document and email management approach, as well as its mobile capabilities and integration with legal technologies such as matter management and metadata scrubbing, increases team productivity, and reduce information management related risk.”
